Auctions
Please note: any and all existing and outstanding payments to HLWW must be paid in full before participating in either the live or silent auctions. All monies owed must be paid before February 2009.
Bids on auction items will be welcome from all Convention attendees. Some items, both for the live and silent auctions, will also be made available for on-line bidders. HLWW will appoint a proxy to bid on behalf of the on-line bidders.
Children
Attendees should be at least 17 to attend the convention. Minors will be charged at the full convention rate.
Selling Merchandise
No attendee is permitted to sell any items or service on hotel property except in the dealers' room. Permission must be obtained from HLWW for all sales.
Weapons
No weapons will be permitted.
General Decorum
We reserve the right to eject anyone breaking the rules or behaving in a disruptive manner. No refund will be issued to anyone ejected from this event.
Identification
Convention identification should be worn above the waist at all times, so it can be easily seen by Convention and hotel staff.
Photography
No photographs will be permitted during the “Guest Meet and Greet” or the Concert on Saturday night.
No flash photography will be permitted after the first 5 minutes of panel sessions or at request of the MC.
Registration Cancellation/Transfer
HLWW will refund Registration fees if the entire convention is cancelled (but not if one or more guests cancel due to professional commitments).
In the event that a registration has been paid for and one later finds they will be unable to attend a refund may only be given if the entire event has sold out. However, registrations may be transferred. If you wish to do so, you need to notify HLWW of the change. The individual must undertake to be bound by the same agreement/s that applies to all other attendees. HLWW reserves the right to reject such an application without explanation
Transfer of Registration
Registrations may be transferred. If you wish to do so, you need to notify HLWW of the change. The individual must undertake to be bound by the same agreement/s that applies to all other attendees. HLWW reserves the right to reject such an application without explanation.
Video Recording
Video recording is not allowed in ANY of the convention sessions. The guests have agreed to join us for the event under certain conditions and to ensure that they feel relaxed we have undertaken that no video or audio recording will take place in their panels/talks/concert. We are aware that some digital cameras and cell phones have movie-settings and to a large extent we will trust you to refrain from using that option. However, due to past indiscretions, we will be monitoring the audience and anyone found recording the event without permission will be considered to have broken that trust. Given the legal implications both to the individual responsible (and ourselves as a convention event) an individual runs the risk of being ejected and/or their material confiscated/wiped without further warning. You will see that the event itself is recording certain activities. After approval and review by our guests, much of the material may be made available on official event DVDs.
IMPORTANT: The event will be filmed by HLWW, so please be aware that registration and attendance at HLWW9 and associated activities implies your consent to be filmed.
